CHILD PROTECTION POLICY
The Winchmore Hill Tennis Club aims to provide an enjoyable environment for all juniors who wish to take part in tennis, other sport and social activities at the club

The club emphasises that young people have the right to be safe, secure and free from threat

The club acknowledges that young people have the right to be treated with respect and for their concerns to be listened to and acted upon

The club will ensure that junior members have specific programmes and facilities designated for them, with adequate provision

The club has procedures in place to help any young person who requests help and support on a confidential basis, in issues relating to child protection

The club will ensure that the Head Coach holds a full LTA Coach Licence and that other coaches are either Licensed or have signed the club self declaration form in relation to Child Protection

 The club will ensure that any club members and volunteers who work with young children are aware of and apply the LTA Code of Conduct for Those Working with Children in Tennis, and have signed the club self declaration form in relation to Child Protection

SOCIAL TENNIS
Regular social tennis tournaments are held, invariably involving mixed doubles with everyone, regardless of playing standard, encouraged to join in.

Social tennis is played on Saturday afternoons from 2pm and Sunday mornings from 10am the whole year round. In the spring and summer additional social tennis is played on Wednesday evenings when the grass courts are open.

VISITORS/GUESTS
We have paid out a lot of money for the improvements in our facilities and every member contributes towards that. It seems fair therefore that we should carefully control who makes use of them. All members have been issued with a shoe tag which helps to identify members to each other and prevents embarrassing questions being asked of a member that you may not recognise. A regularly updated list of paid up members is also pinned up in the hut [to which we all have a key]. Everybody has a duty to challenge any non members found using the courts. Membership packs are available in the hut and in the club house for any prospective non members. Anybody wishing to try out the courts before joining will be welcome to do so for free on their first visit when they should be given a membership pack and encouraged to join up. Any other non members wishing to play [guests of existing members] will be charged £3.00 per head per session up to a maximum of three occasions in a year. A guest book is available in the hut. Please enter your guests’ names prior to playing. [again to save any embarrassing situations] The fee should be given to any committee member who will then mark up the entry as ‘paid’.  

COURT SECURITY
The courts are secured with padlocks to ensure that only those who pay for the courts are able to benefit from them. It will also hopefully deter vandalism. The courts will be secured by a combination padlock. The code to the padlock will be made available to all Tennis Section members.

Simply set the numbers to A    line up [from left to right] with the marked line and   …....pull the metal knob [A]. The bolt of the padlock will then be released. To relock it, ensure the numbers are lined up and then push the bolt  in the direction of the arrow until it clicks. Spin the dials and that’s all there is to it! The second gate to the all weather courts will remain locked during winter to reduce the risk of treading muddy footprints onto court. During summer months, it and the grass courts will be accessible by similar padlocks, all with the same number. The locks will be fixed to the gates by chains so that they do not become lost. Whenever you are the last person off court, please remember to lock them. It may become necessary to change the combination from time to time, however this will only be done once all members have been notified.

COURT LIGHTING
Tokens are available from the Club bar, which opens at 7pm weekdays, so you may have to buy them the day before for an early start! The cost of tokens to £2.00 each. Each token will supply court lighting for 30 minutes.

Select the court that you wish to use by pressing the  ñ button and then enter token[s].

The following displays may appear on the screen

EMPTY   
The court is not illuminated

BUSY
The court is already illuminated

HOLD
The court lights have been extinguished and will not re-light until EMPTY appears [if tokens are entered while in the HOLD mode, the time will not run down until the lights are ready to re-ignite.]

To switch off the lights early, select the court using the  
ñ  button and then press ESC.

The lights may stay on for a short time after the time paid for expired, to permit safe egress from the courts. A set of instructions will also be put up next to the meter.

PLEASE NOTE; that regardless of how much time is left ‘on the clock’, all lights will switch off at 10:00pm in order to comply with planning conditions.

ANNUAL SUBSCRIPTIONS
Subs are due on 1 May and the fees are as shown below. If you wish to pay by standing order, a mandate is available from the Treasurer. Simply fill it in and hand it to your bank. No doubt some of you are able to set it up on-line.

Subscription Rates:
Our subscription includes membership of the parent Club, Winchmore Hill C.C. Fully paid up members of the Tennis Section will be eligible for the Wimbledon Tickets Draw, provided that they are a British Tennis Member.

Senior  £210.00 (Deduct £20 if a fully paid up senior member of another section) 
Family Membership  £420.00 Two adults (senior members) and two children. Deduct £20 if one senior member is a fully paid up senior member of another section.
Senior Citizens  £115.00 (Deduct £20 if a fully paid up senior member of another section) 
Young Adults £115.00 (Deduct £10 if both parents are members of the Tennis Section) 
Winter Membership £115.00
Junior (U17) £60.00
Junior (U10) £30.00
Junior (U8) £10.00

Club Kit
The Tennis Section has its own clothing supplier, D & M Sports, where members can purchase items with the Club logo. There is a link to their on line shop on the Tennis Home page.

The Club has an appointed kit coordinator Suzanna Leung (07802 379 788). Please contact her if you require any assistance.

If you are unsure of the sizing please check with Susanna first before ordering (there is no refund if you order the wrong size).

VERY IMPORTANT
Future kit runs will be dependant on the level of demand and will only be released by the Club once the minimum order for that item has been reached. The minimum delivery period for any one order will normally be between six to eight weeks. But it could be longer! Delivery to the Club is free if part of a bulk order.

Please check with Susanna before you place any order with D & M Sports after 31 March 2010 as she will be able to advise you if others have ordered the same item and we may have your item in stock!

Lawn Tennis Section Bye-Laws

1 CHILDREN
1.1 The supervision, and therefore the conduct, of all children within the Club's grounds is the responsibility of their parents or guardians.
 
1.2 No children (other than junior members) are allowed on court or in the tennis hut.
 
2 GUESTS
2.1 Members are permitted to bring a guest for a fee to be determined from time to time by the Committee, payable to the Treasurer of the section.
 
2.2 The visitors must be signed in the book located in the tennis hut.
 
2.3 All visitors must adhere to the rules of the Club.
 
2.4 The number of visits is strictly limited to three visits per guest per year.
 
2.5 Junior members are not permitted to invite guests to play without the prior consent of a senior member.
 
3 COACHING
3.1 The section employs a contracted professional coach. No other form of professional coaching is permitted without the prior agreement of the coach currently under contract to the Club.
 
4 WIMBLEDON TICKETS
4.1 The Tennis Section receives an annual allocation of tickets for Wimbledon, which are distributed to members by means of a draw. Full details are posted in the tennis hut when notification of the section's allocation is received from the LTA.
 
4.2 Members who are allocated tickets via the draw must pay for the said tickets upon receipt.
 
4.3 Under no circumstances can tickets be re-sold to a third party without the prior consent of the Chairman or Honorary Secretary. Failure to comply with this ruling may cause the section to be disallowed form the future allocation by the LTA.
 
5 GENERAL
5.1 All members, both senior and junior, are required to keep all areas free from litter.
 
5.2 Smoking is not permitted either in the tennis hut, Club pavilion or on court.
 
6 USE OF COURTS
6.1 All tennis played at the Club is subject to the application of the playing rules as specified by the Lawn Tennis Association of which the section is an affiliated member.
 
6.2 The best principles of accepted tennis etiquette and codes of conduct must be applied at all times. The Committee believes that the best spirits of the game of tennis should apply and that argumentative or unsporting conduct is not acceptable.
 
6.3 Members are requested to wear recognised tennis clothing when on court. The wearing of casual/swim or beachwear is not acceptable.
 
6.4 Tennis shoes only must be worn on court. The soles of such tennis footwear must not be of a type which could cause damage or excessive wear to the court surfaces. Trainers and other forms of casual footwear are not permitted on court.
 
6.5 Tennis balls, net tapes, net sticks and chairs must be returned to their proper location in the hut after use.
 
6.6 Under no circumstances can club tennis balls be taken off the club premises unless authorised to do so by a member of the tennis section management committee.
 
6.7 The grass courts must not be played upon when damp or wet and/or when a member of the Committee or the Club's Head Groundsman deems them unfit for play.
 
6.8 Junior members are only permitted to play on the grass courts designated for junior play. Junior members have priority use of the junior grass courts. Juniors may only play on the senior grass courts upon invitation by a member of the Committee.
 
6.9 The Club tournaments for men's and ladies' singles/doubles and mixed doubles are held annually in June/July.
 
6.10 Team matches and club tournaments have priority over social tennis.
 
6.11 If a member(s) is waiting to play then the players already on court are required to finish after one set and make way for those waiting. In such circumstances sets should be concluded by tiebreak.
 
6.12 Doubles play has precedence over singles play.
 
6.13 Failure to comply with these Byelaws may subject the transgressor to action being taken under Rules 6.4 to 6.9.
